1. Who We Are and What This Policy Covers

Tiny Kids Consulting LLC (“Tiny Kids Consulting,” “we,” “us,” or “our”) provides educational consulting services for expecting parents and families with newborns and infants. This Privacy Policy describes how we collect, use, store, share, and protect information when you visit our website, book or participate in our services, purchase a gift certificate, or otherwise interact with us.

By using our website or services, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our practices, please do not use our website or services.

2. An Important Note About the Nature of Our Services and Your Information

Tiny Kids Consulting provides educational guidance and information only. We are not a medical practice, we do not provide medical care, diagnosis, or treatment, and use of our services does not create a physician-patient or other clinical relationship.

Because we are not a healthcare provider that bills insurance or engages in electronic healthcare transactions, we are not a “covered entity” under the Health Insurance Portability and Accountability Act (HIPAA), and the information you provide to us is not governed by HIPAA. We nevertheless treat the information you share with us with a high standard of care, as described in this Policy.

Please do not submit medical records, diagnoses, medication lists, or other detailed medical information to us through our website, questionnaires, contact form, or email. Our services do not require this information, and questions about your or your child’s medical condition should be directed to your or your child’s healthcare provider.

3. Information We Collect

Information you provide directly. We collect the information you choose to provide when you interact with us, including:

  • Booking and intake information. When you book a session, we collect your name, email address, your responses to our pre-session questionnaire (including the questions you would like addressed and topics you would like covered), and your responses to our eligibility screening questions.
  • Registry review information. If you book a registry safety review, we collect the link to your baby registry.
  • Gift certificate information. If you purchase a gift certificate, we collect your name, email address, payment information, and, if you choose to have the certificate delivered directly to the recipient, the recipient’s name and email address. When a recipient redeems a gift certificate, we collect the recipient’s booking and intake information described above.
  • Payment information. Payments are processed by a third-party payment processor. We do not store your full credit card or debit card number on our systems. We retain records of transactions (such as the amount, date, and service purchased) for accounting and business purposes.
  • Communications. When you email us, submit an inquiry through our contact form, or respond to a request for feedback or a review, we collect the contents of that communication and your contact information.
  • Voluntary information. Any additional information you choose to include in your questionnaire responses, communications, or sessions, which may include information about your pregnancy, your child, or your family. We ask that you limit this to what is reasonably necessary for your session.

Information collected automatically. Our website does not use analytics services, advertising pixels, or social media tracking tools. Our website hosting provider and the third-party platforms we use for booking and payment may collect limited technical information, such as your IP address, browser type, and device type, and may use cookies that are necessary to operate and secure their services. We do not use cookies or similar technologies for advertising or behavioral tracking. If we add analytics tools in the future, we will update this Policy before doing so.

Affiliate links. Our Favorite Items page contains links to products on Amazon.com. As an Amazon Associate, we earn from qualifying purchases. When you click one of these links you leave our website, and Amazon’s privacy practices govern your activity there. We do not receive your personal information from Amazon.

What we do not collect. We do not record consultation sessions. We do not use artificial intelligence transcription or note-taking tools during sessions. We do not knowingly collect information directly from children.

4. How We Use Your Information

We use the information we collect to:

  • schedule, prepare for, and deliver your consultation sessions;
  • verify eligibility for our services through our screening questions;
  • process payments and gift certificate purchases and redemptions;
  • communicate with you about your booking, including appointment confirmations and session links;
  • respond to your questions and inquiries;
  • request feedback or reviews following your session;
  • maintain business records, comply with legal obligations, and enforce our agreements;
  • protect the security and integrity of our website and services; and
  • improve our services and website.

We do not use your information for third-party advertising, and we do not sell your personal information to anyone.

5. How We Share Your Information

We do not sell, rent, or trade your personal information. We share information only in the following limited circumstances:

  • Service providers. We use a small number of third-party providers to operate the business, including scheduling and booking platforms, video conferencing services, payment processors, email and document storage providers, and website hosting services. These providers receive only the information needed to perform their functions and are subject to their own security and privacy obligations.
  • Legal requirements. We may disclose information if required to do so by law, regulation, subpoena, court order, or other legal process, or where we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.

We do not share your information with your or your child’s healthcare providers, your employer, insurance companies, or any marketing companies.

6. How We Protect Your Information

We maintain reasonable administrative, technical, and physical safeguards designed to protect your information, consistent with the New York Stop Hacks and Improve Electronic Data Security Act (SHIELD Act) and the size and nature of our business. These safeguards include:

  • limiting the information we collect to what we reasonably need;
  • storing information on reputable platforms that use encryption and access controls;
  • restricting access to your information to authorized personnel only;
  • using strong authentication on our business accounts; and
  • securely disposing of information when it is no longer needed.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Ordinary email is not an encrypted channel, and we ask that you not send sensitive health information by email. If a breach of your private information occurs, we will notify you and the appropriate authorities as required by applicable law.

7. How Long We Keep Your Information

We keep personal information only as long as reasonably necessary for the purposes described in this Policy:

  • Intake and session information (questionnaire responses, topics, session preparation notes) is generally deleted within approximately four (4) months after your final session or last interaction with us.
  • Transaction and business records (payment records, invoices, gift certificate records) are retained as required for accounting, tax, and legal purposes.
  • Signed agreements and acknowledgments (such as your acceptance of our Terms of Use, Client Services Agreement, and Liability Waiver) are retained for as long as necessary to document our legal relationship, including for periods required or permitted by applicable law.

When information is no longer needed, we dispose of it securely so that it cannot be read or reconstructed.

8. Your Choices and Rights

  • Access, correction, and deletion. You may request access to, correction of, or deletion of the personal information we hold about you by contacting us at the address below. We will honor reasonable requests, except where we are required or permitted to retain information for legal, accounting, or recordkeeping purposes.
  • Email communications. Transactional emails (such as booking confirmations and session links) are a necessary part of the services. If we ever send promotional communications, you may opt out at any time by following the unsubscribe instructions in the message or contacting us directly.
  • Reviews and testimonials. If you provide a review or testimonial, we will not publish it with your name or identifying details without your consent.

9. Children’s Privacy

Our website and services are intended for adults age 18 and older. We do not knowingly collect personal information directly from children under 13, and our services are not directed to children. Information about your child that you choose to share with us as a parent or guardian is treated as part of your information under this Policy. If you believe a child has provided personal information directly to us, please contact us and we will delete it.

10. Session Privacy

Our consultation sessions are conducted by video conference. We do not record sessions, and our client agreements prohibit participants from recording sessions as well. For group sessions, please be aware that other participants will be able to see and hear you; we ask all participants to respect the privacy of others, but we cannot control the conduct of other attendees, and you should share only what you are comfortable sharing in a group setting.

11. Third-Party Websites and Services

Our website may contain links to third-party websites, including scheduling platforms, payment processors, video conferencing services, retailer registry pages, and product pages on Amazon.com. This Policy does not apply to those third parties, and we are not responsible for their privacy practices. We encourage you to review the privacy policies of any third-party service you use.

12. Users Outside the United States

Our services are intended for residents of the United States. If you access our website from outside the United States, you understand that your information will be processed and stored in the United States.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last Updated” date above and post the updated Policy on our website. Material changes will be communicated through the website or by email where appropriate. Your continued use of our website or services after an update constitutes acceptance of the revised Policy.
